You’ll be responsible for coordinating how feedback is collected, structured, and followed up on within Flüüfff. This includes preparing feedback processes before the convention, helping facilitate feedback moments during or shortly after the con, and ensuring that insights from staff, volunteers, and attendees are communicated internally with transparency and care. Your role helps Flüüfff learn, improve, and grow year after year

Your role in the team

Strong organisational and communication skills are essential for this role. You should be comfortable structuring information, spotting patterns, and translating feedback into clear insights. Experience with surveys, feedback tools, or moderation is helpful, but not required. Discretion, empathy, and the ability to handle sensitive input thoughtfully are important.

Tools used include Google Suite and Telegram for coordination and communication and board/kanban tools (e.g. for translating input into tickets).

Who you’ll be working with

You’ll work closely with department heads, HR, and the board to gather and contextualise feedback. You may also coordinate with moderators or facilitators during feedback sessions, and collaborate with other departments to ensure feedback reaches the right people.

Time commitment

This role spans the full convention cycle, with varying levels of time commitment throughout the year.

In the months leading up to the convention, the focus is on preparing feedback methods and structures, such as defining how feedback will be collected, processed, and shared. There may also be specific moments during the convention itself (for example, the feedback panel) where active involvement is required.

The peak workload occurs shortly after the convention, once all feedback has been gathered and internal feedback moments have taken place. During this phase, most of the effort goes into consolidating, structuring, and clearly communicating feedback to the relevant departments.

Outside of these peak periods, the role involves light, ongoing follow-up to ensure feedback is not lost, tracked appropriately, and can inform future improvements, rather than requiring continuous high-intensity work throughout the year.
