You’ll coordinate HR activities throughout the year, including onboarding new staff, maintaining accurate records and documentation, and improving internal communication and wellbeing processes.
You’ll lead and mentor a small team of HR Officers, ensuring that they can do their work smoothly and feel confident in their responsibilities.
You’ll also collaborate with other department heads and leadership to make sure the convention remains a safe, inclusive, and welcoming environment for all volunteers.
This role is part strategy, part administration, and part people care, ideal for someone who enjoys building structure and supporting others behind the scenes.
You’re the bridge between leadership and staff when it comes to people, processes, and wellbeing.
You’ll develop and maintain HR guidelines, oversee onboarding systems, manage staff information, and help shape communication standards across departments.
Strong organization and clear communication are key. You’ll often be the person who ensures that what needs to happen does happen, from documentation and updates to conflict prevention and team feedback loops.
Helpful experience includes coordination, leadership, HR or admin background, and a comfort level with tools like Google Workspace, spreadsheets, and shared documentation systems.
While you don’t have to be an expert in HR law or formal HR systems, HR experience, a sense of fairness, empathy, and structure will take you far in this role.

You’re dependable, proactive, and have a natural sense of responsibility.
You communicate clearly and handle sensitive information with tact and discretion.
You enjoy organizing processes, spotting gaps, and suggesting improvements.
You can balance warmth and approachability with professionalism and boundaries.
You find satisfaction in making things run smoothly and helping others shine.
You’re comfortable taking initiative, coordinating with multiple people, and following through on plans.
Who you’ll be working with
You’ll work closely with the Chairdragon, Vice-Chair, and other department heads to align HR policies with the overall event structure.
Your core team will include HR Officers who focus on onboarding, communication, and wellbeing.
You’ll also have frequent contact with other departments to ensure that new and existing staff have what they need to do their work effectively and safely.
Time commitment
This is a year-round hybrid role with a flexible workload. Expect roughly 2–4 hours per month during quiet periods, increasing to around 5–10 hours per month in the months leading up to the convention.
You’ll participate in coordination meetings, review documentation, and check in with HR Officers and leadership regularly.
During the convention, your role shifts toward support and oversight, making sure that staff wellbeing and communication flow smoothly on-site and online.
