HR Officer - Human Relations (HR) department

You will be supporting the HR department with both the administrative and the people-focused side of recruitment and staff support. You will also set up and streamline HR processes (recruitment, onboarding, check-ins, exit), maintaining documentation, and being a warm and reliable point of contact for staff members via email, chat, and video calls.
As an HR Officer, you help keep the people side of Flüüfff running smoothly behind the scenes. You’ll focus on the administrative and communication aspects of HR: things like onboarding new staff, keeping our records up to date, managing documentation, and improving how we share information and resources.
You’ll collaborate with the Head of HR and other departments to make sure everyone has what they need to do their jobs well. You’ll also help spot where our internal processes can be clearer or more efficient, and propose or implement small improvements along the way.
Your work ensures our volunteer team feels informed, organized, and supported throughout the year and during the convention.
You might be a good fit if
You are fluent in English. It is a plus if you are also fluent in French, Dutch, or German.
You genuinely care about people and want to help create a safe, welcoming environment for both staff and attendees.
You’re organized, reliable, and comfortable keeping track of details, even when things get a little hectic.
You communicate clearly and kindly, whether over chat, email, or in person.
You’re a good listener who can balance empathy with fairness and confidentiality.
You don’t mind doing a mix of practical admin tasks and human support, from helping with onboarding documents to checking in on someone who’s having a tough day.
You’re comfortable working collaboratively with other departments and know when to reach out for help.
You have a steady, calm presence, especially useful when others are stressed or overwhelmed.
You understand that everyone here is a volunteer, and you value teamwork, trust, and mutual respect above hierarchy.
Who you’ll be working with
You’ll work closely with the Head of HR and other members of the HR team, coordinating on staff communication, onboarding, and documentation.
You’ll also collaborate with Department Heads across Flüüfff to support their recruitment needs, gather updates, and make sure all staff information stays current and organized.
During the convention, you’ll help ensure smooth communication and wellbeing across teams, together with the HR Head and Deputies.
Time commitment
A few hours per month outside of the con (mainly recruitment and staff support via email/chat/video calls). During the convention, being available for check-ins and staff support.
