Decorations Lead - Theming Department department

As Decorations lead, you’ll lead everything related to the visual and atmospheric design of Flüüfff’s spaces. You’ll develop decoration concepts based on the yearly theme, plan materials and layouts, and guide your team in preparing, transporting, setting up, and tearing down the decorations.
You’ll coordinate with the Theming team to ensure consistency across the venue and work with Accounting to handle budgets and purchases responsibly.
Your goal is to help bring the magic of Flüüfff to life, transforming empty rooms into welcoming, immersive spaces that make people smile the moment they walk in.
You’ll oversee the Decoration subteam, coordinating planning and communication throughout the year. You’ll help translate creative ideas into practical action, making sure tasks are clear and achievable.
Strong organizational and communication skills are key, you’ll keep your team informed and motivated, while ensuring deadlines and logistics are handled smoothly.
Some hands-on or creative experience (such as crafting, painting, or stage design) is a plus, as is the ability to visualize how decorations will fit into the space.
You should be able to drive a car or arrange transport for materials to and from the venue. Being comfortable managing small budgets, delegating tasks, and keeping track of supplies will make your work much easier.

Who you’ll be working with
You’ll collaborate closely with the Head of Theming, who coordinates the overall event theme, and with other members of the Theming department for idea development and visual alignment.
You’ll also work with the Accounting department to manage decoration budgets and purchases, and with the Logistics or Infrastructure departments for transport and venue setup coordination.
Time commitment
Most of the work takes place before the convention, during the planning and preparation phase: designing concepts, sourcing materials, and organizing the decoration team.
You’ll also need to be available for early arrival before the convention to set everything up, and on the final day to help with teardown and packing.
During the event itself, you’ll mainly be on standby for small fixes or adjustments if something breaks or needs moving.
